Event Ticket Sales tbd Design and print tickets, distribute ticket order forms and tickets to be sold, work with webteam for online ticket sales, track ticket sales.
Entertainment tbd Coordinate the DJ, live auction spotters, live auction skits, and audio-visual equipment setup for the evening. DJ sound system needed for Auction event, must be able to cover whole room.
Slide Show/Video tbd Collect photos and video from all teams, personal interviews, produce DVD slide show / video to music. Make copies and orderforms to sell at event.
Donations tbd Contact assigned businesses for donations, popular auction items that have high return and reasonable effort. Collect items.
Program tbd Develop “low cost” program of auction items
Event MC/Auctioneer and Event Coordinator tbd Voice of the auction, and keep the events moving according to evening schedule.
Publicity tbd Work with school marquee, local media, update and post banners, fire station, posters, etc, to advertise event.
Poster Contest tbd Lead survey to pick a theme, Coordinate with Oak Ridge Art Department on extra project designing poster in theme. Theme, select finalist, select winner. Arrange for printing and posting of winning poster to publicity committee.
Bar, liquor license tbd Acquire liquor license, coordinate with Patrick Gallagher on Bar, Bar Tenders
Catering tbd Coordinate with caterer for food, setup, serving, cleanup, contract for required table linens and table service
Cashiering tbd Support all cash transactions for event, auction, various ticket sales (drinks, tasting, casino games, raffle), etc., credit card processing forms.
Desert Auction tbd Solicit Desert donations from local restaurants and bakeries, support auction of deserts (cash and cut on the spot).
Team Donations tbd Coordinate team donations, discourage the use of team funds to buy auction item, encourage “team labor” like donations, e.g., yard work, baby sitting, moving, etc.
Cleanup tbd Bag trash and dumpster through out event and at end. Take down tables and chairs, etc. Must finish clean up by 11pm like we were not there. Coordinate with Facilities committee as needed for return of tables and chairs.
Setup tbd Coordinate with Facilities committee as needed for pickup/delivery of tables and chairs as needed. Setup tables and chairs before event big group, short time, tables, linens, minor décor
Auction Item bundle/décor tbd Compose auction item “packages” from individual items, attractively wrap. Workup individual description writeups and bid sheets.
Event Decorations tbd Less is better, keep it simple, to theme, nothing left behind (disposable e.g., balloons, or give-away, e.g., bottle of wine centerpiece with custom label sleeve.
Raffle tbd Coordinate raffle item donation, selling raffle tickets, picking winning tickes
Correspondence tbd Donation solicitation letters (letter is written), send thankyou letters after event.
Wine / Beer Tasting tbd Coordinate with local El Dorado Country wineries and micro brewers for tasting (donating product, offer opportunity to sell product, and offer advertising and/or sales of their products. Tasting ticket sales, engraved glasses with event name/logo/date
Facility tbd Coordinate with Mercedes for use of facility and vale service. Contract for tables and chairs.
Casino Games tbd Coordinate/contract for equipment, dealers, pit-boss. Facilitate activity with rest of event.
